7.Introduction to Database 7.1 Database Management System (DBMS) 7.2 Introduction to Microsoft Access 7.3 Access Query Design 7.4 Access Reports Generator 7.1 DBMS A database management system (DBMS) is a collection of programs that enables you to store, modify, and extract information from a database. There are many different types of DBMS, ranging from small systems that run on personal computers to huge systems that run on mainframes. Typical examples of DBMS include Oracle, IBM DB2, Microsoft Access, Microsoft SQL Serve and MySQL etc. DBMS are typically used by database administrators in the creation of database systems. With DBMS users can create a computerized database; add, change and delete data in the database; sort and retrieve data from the database; and create forms and reports from the data in the database. 7.1.1 Examples of a Database File STUDENT FILE- a collection of cards Record=one student’s details. Each record has a unique identifier. (1) Operations on Student Cards Maintenance Add records, modify records, delete records. Information Production Inquiries, reports. (2) Ordering of Cards Arrange Student Cards in Student ID or Student Name order to facilitate retrieval. Student ID is the KEYFIELD. (3) Index Index means a list of keys (or keywords), each of which identifies a unique record. Index makes it faster to find specific records and to specific records and to sort records by the index field—that is , the field used to identify each record. NAME INDEX is a separate card stack containing only index field(s) data with cross reference into main data file. Need a unique field to identify each card. Now to access students via their ID number, create a separate ID INDEX. Using indexes we can: Quickly find a student record knowing either STUDENT ID or STUDENT NAME; List students in either STUDENT ID or NAME sequence. 7.1.2 Data Integrity Data integrity ensures that data are “whole” or complete, the condition in which data are identically m
