A quotation is a promise to supply goods on the terms stated, but it is not legally binding as a firm offer if the seller later decides not to sell. A satisfactory quotation may include: a. An expression of thanks for the enquiry, if any; b. Name of commodities, quality, quantity and specifications; c. Details of prices, terms of payment, and discounts or commissions if any; d. Packing and date of delivery; It will conclude with an expression of hope that the quotation will be accepted. Offers are made when a seller promises to sell goods at a stated price and within a stated period of time. In response to an enquiry, offers may be sent. A satisfactory offer will include the following: a. An expression of thanks for the enquiry, if any; b. Name of commodities, quality, quantity and specifications; c. Details of prices, terms of payment, and discounts or commissions if any; d. Packing and date of delivery e. The validity of the offer f. Looking forward to an early order. It must be clear, definite, complete and final. A firm offer can not be withdrawn by the seller within its validity period. If the buyer accepts, then it is a contractual obligation. 4. When a buyer rejects a quotation or other offer, he should write and thank the seller for his trouble and explain the reason for rejection. Not to do so would show lack of courtesy. The letter of rejection should cover the following points. It should: a. Thank the seller for his offer; b. Express regret at inability to accept; c. Make a counter-offer if, in th
