And you should give a reply within two days. If you can’t answer the letter in time because of some special reasons, you should give the buyer an explanation. When replying, you should not only use proper words but also make its content completely showing your having paid much attention to the inquiry. Part 2 Main structure In the opening part, thank the inquirer and acknowledge the interest in his / her company. In the body, supply the specific facts requested. / Give an explanation if you can not supply the item and, if possible, suggest an alternative. In conclusion, enclose a brochure. Call attention to the particulars of the brochure to encourage a sale. Part 3 Steps Step 1 Expressing your thanks for inquiries. Typical expressions: 1. Thank you for your inquiry and for your interest in our products. 感谢你方询价以及对我方产品的兴趣。 2. We thank you for your letter asking for a quotation for…We are pleased to make the following offer. 感谢贵方要求对…进行报价的来函。我方十分乐意进行如下报价。 Step 2 (1) Answering some questions and telling the buyer the enclosed data such as the catalogue, price list and samples. (2) Explaining the no-stock situation and assuring that you will revert to it once a supply becomes available. Typical expressions: 1. We have much pleasure in enclosing a quotation sheet for our products and trust that their high quality will convince you to place a trial order. 很高兴附上我们产品的报价单。相信我们产品的高质量能使贵方试订。 2.
