Business Letter Writing and Its Layout (商务信函写信要求) Practical Writing 书信的要求 Practical Writing 书 信 英文书信可分为私人信函和业务信函两大类。私人信函所包含的项目比业务信函少些、语言也更加通俗随意。业务信函有六大必有部分,还有六个可又部分,后者可视实际需要选用。 必有部分: 1,信头 ( Heading / Letter-head) 1)写信人的地址、邮政编码、电话、传真号码及 电子邮件网址等;私人信函中无此部分;公司业务信函用纸上一般印有信头,不必另行再写。 2)写信日期 (Date) Practical Writing 2、信内地址,即收信人的姓名和地址(Inside Address),私人信函无此部分。 3、称呼(Salution)。 4、正文(Letter Body)。 5、客套结束语(Complimentary Close)。 6、署名(Signature)。 可有部分: 包括收信人行(Attention Line)、内容主体行(Subject Line)、附件(Enclosure)、抄送(cc/ carbon copy)、责任人、附言(Postscript)。除附件和附言外,私人信函一般不必使用其他可有部分。 Practical Writing EXAMPLE: Practical Writing Some rules of good writing Study your reader’s interest Adopt the right tone Write naturally and sincerely Avoid wordiness Write clearly and to the point Be courteous and consideration Be complete and correct Check your letters Avoid wordiness 不必要的形容词和副词 The question is under active consideration. 不必要的介词短语 We are writing with reference to (about) 不必要被动语态 Payment of their account will be made Greens next month. 铺张词语 It will be appreciated that--- It should be noted that--- I am to point out that--- 重复和罗嗦 1、语言不简洁易懂 communication---letter in the near future---soon At the present time---now Express a preference for---prefer 2、重复使用一个主要词,而其含义不同 How do you account for the fact that the account is wrong? 3、使用抽象词义的词 We have no hesitation in advising you We advise you Check your letters Is its appearance attractive;is it well laid out Is it correctly spelt and properly punctuated Does it cover all essential points and is the information given correct?
