Vacancy Management Guidance for interview selection panel members using the online shortlisting system Introduction To follow you will find an in-depth guide on how to manage job applications for which you are a member of the interview panel, from receipt to shortlist. By accessing an individual job, you may view and score the applications as they come in instead of having to wait until the job closes and the paperwork issued by HR. You will have the facility to see the application form, any additional supporting documentation and any references that have been received for each candidate. You will be able to make notes on each application, and score each application based on the selection criteria for that post. Once the job has closed and all applications have been scored, all scores will be submitted electronically to the system for final review by the Vacancy Owner in order for them to make a shortlist decision. Once the shortlist has been decided, the Vacancy Owner can then electronically submit the final shortlist grid to HR for confirmation. By using this system, we can ensure that the recruitment process is fair and transparent and that all documentation, including shortlisting notes, complies with our statutory obligations under the Data Protection Act 1998. The University of Bath operates under the ‘Two Ticks’ symbol, whereby all disabled candidates who meet the minimum selection criteria will be guaranteed an interview. The HR department will validate all shortlisting decisions to ensure compliance with this policy. Accessing the system To access Stonefish you will first need to go to www.bath.ac.uk/jobs and enter your username and password (figure 1) This will allow you access to the Vacancy Management system (Figure 2) After logging into the system, you will be presented with the Vacancy Management page listing all the posts, for which you are a selection panel member, open and closed, with brief details such as the
