Standard Operating Procedures for TM Clubs. (Roles and Responsibilities of each role-taker) For All Role- Takers: Dress Code: Please observe strict dress code for ALL Role-takers and Speakers. During Warm Weather: Gentlemen: Only collared-tee-shirts, long pants or trousers, no slippers please. Cold Weather: Long-sleeved with tie or with jacket. ALL Role-takers, Speakers and Evaluators are to observe proper protocol by addressing the President and any Area Governors or Divisional Officers present at the meeting before the start or shortly after starting your role. You need only to address them once. For Roles-Takers (This is based on the assumption the meeting starts at 7pm) Sergeant at- Arms (SAA) (Requires 3 Assistant SAA) (Min. 2 at each meeting) 6:40 SAA Start to set up the room 1) Ensure the Club’s Banner is put up. 2) Set up the white board with at least 3 different colored pens for the white board. 3) Ensure that the white boards are cleaned on both sides. 4) Ensure that the Video Camera is in placed. (If available) 5) Ensure that agenda and voting slips ready by 6:45pm. 6) Ensure timing cards, bell and gavel are ready. 7) Keep records of the attendance and take charge of all money collected. All money should to be handed to the Treasurer by 9:30pm at the latest. 8) Ensure all guests that their email and contact numbers are neatly filled up and the attendance sheet is professionally tabulated and typed up. 6:55 SAA Announce that the meeting will start in 5 minutes 6:58 SAA Announce that the meeting will start in 2 minutes 7:00pm SAA Call the meeting to Order and introduces the President of the Club. You shall say, ‘Fellow Toastmasters, Ladies and Gentlemen, Let’s welcome, the President of 5A+ Professional Speakers, ACG, CL, Samuel Ng’ SAA Call the meeting to order again after the break and return control to the TME.
