Lecture 12 How to Chair a Meeting Contents Tips to chair a meeting Major points covered in a welcome speech and their expressions Major points involved in a closing speech and their expressions A role-play of chairing a meeting Chair a meeting What does “Chair a meeting” mean? To chair a meeting is to be the chair person of a meeting or committee, in which he or she will give a welcome speech and a conclusion speech. The chair in the plenary session or keynote session is usually appointed by the organizing committee on the basis of a person’s expertise in the topic of the meeting and past performance. But you might be appointed as moderator or convener in the parallel sessions. Tasks Task 1: Work in groups to discuss: “How to make your chairing successful when you introduce a keynote speaker or a presenter as a chairman or moderator?” Task 2. Watch the video clip and write down the major points covered in introducing a keynote speaker. Tips for Chairing a Meeting It would be helpful if you get to know the speaker and his/ her paper to be presented before the session starts. Confirm the speaker’s name, institution, pronunciations and title of the talk. Ask for bios early (e.g. the title of the speaker, and honors the speaker intends to be introduced). Tips for Chairing a Meeting Orient the speaker to timing procedures. Start the applause while the speaker is mounting the steps. Thank the speaker before you invite questions for him or the next speaker. Prepare some questions to stimulate discussion if the audience is quiet. Make a closing speech by thanking the speaker and the audience. Tasks Task 3: Now work in pairs to role-play a chairman and a presenter at a session. One of you should act as a chair person while the other simulates the presentation. Task 4: Watch the video clips again to sum up the differences in chairing a meeting.
