国际商务英语信函中Reference部分指的是该信的分类编号, 其主要作用是为了以后提及该信时便于认定或供索引用。例如,我方为购买某产品发出第一封信,发信人是采购部经理(Purehasing Department Manager),该信是本月中第18封信,该信的Reference可以设计为PO 01—7—18。其中“P”代表Purchasing Department.“O”代表Order,“01”代表2001年”,“7代表“7月”,“18代表7月份第18封订货信。这样,当对方公司收到该信后回信时,在其回信中可以写上“Your ref.:PO 01—7—18,当我方读到该回信中的 Reference就知道是指哪一封信,有关什么事情。对方在回信中同时会把他们的Reference告诉我方以便我方回信时使用。Reference的设计也可以用写信人的姓名缩写,如John Smith写信,他的秘书Mary Raynor打信,可将Reference设计成“Our ref.:JS/MR,。根据 Reference的这种作用,目前Reference一般翻译成“引证号、“编号”、“文号”等,我们认为,将Reference翻译成“文档号”较好,因为Reference的主要作用是用来将信件分类、归档。 Introduction The following structure is recommended in writing such a letter: A positive opening — No matter whose responsibility it is, it is not advisable for the writer to reject the complaint or claim promptly.
