Unit 5 Orders and Acknowledgements 订货与回复 Introduction An order is a request to supply a specified quantity of goods. It is an offer to buy. It is a common form of correspondence for obtaining goods or services. Now many buyers use printed order forms which contain names of commodities and specifications, quantity, unit price and total amount, etc. When the seller receives this order form, and he can accept it, he should confirm his acceptance of it immediately. Then the seller and buyer sign the contract. The essential qualities of an order are accuracy and clarity. An order or an order-letter should: Include full details of description, quantities and prices and quote article numbers, if any. State mode of packing, port of destination and time of shipment. Confirm the terms of payment as agreed upon in preliminary negotiations. Orders placed always deserve gratitude. First orders, that is, orders from new customers, should most certainly be acknowledged by letter, because there remains much to be done to promote the business relationship and convert the customer into a loyal one. Such a letter of accepting an order should: (a) express pleasure at receiving the order; (b) add a favorable comment on the goods ordered; (c) include an assurance of prompt and careful attention; (d) draw attention to other products likely to be of interest; (e) hope for further orders. Writing skills In order to make your order a definite offer, the outline for order letters should be deductive: 1) Use direct language in the first sentence. State Please ship, Please send, We would like to order, “We would like to purchase to assure the seller of your definite purchase. Be sure to avoid those phrases like “Im interested in, Id like to have the opportunity, We are looking for, or other similar indefinite expressions. 2) Describe what you want exactly. Indica
