You have decided to participate in the program on January 24, 2005 and have made arrangement for your trip. Write to George Smith, the program director to ask for help by emailing him your flight (AA395), and arriving time (3:10 p.m., January 23). 7. Enclosure(s) (if any) This can be used to remind the recipient of the additional material(s) put in the invitation letter, such as an agenda of a conference or a curriculum vitae in an application letter. Some prefer the abbreviation Encl. Tips for writing an invitation letter Make sure invitation letters are cordial and enthusiastic. Failure to be positive might lead to a refusal. Send invitation letters out with ample advance notice, which will allow the invited persons adequate time to make preparations or reservations. At the beginning of the invitation letter, you may extend the invitation before going into the details of the conference, which is one way of arousing the interest of the invitees from the very beginning. Or you may give a brief account of the relevant details, which enables the invitees to have a better idea of the occasion. Give the name of the conference, the time and the venue at the beginning. Do not use abbreviations in formal invitations except for name titles such as Mr., Mrs., Ms., and Dr. (Optionally) Include any accommodations that will be made, such as lodging, meals and transportation with directions and a map if the location may be different to find. Give the name of the contact person along with phone numbers and address (including email) by which the person can be contacted. If you invite someone to speak at a conference/seminar, you should also mention the type of speech, the topic or the scope and how long the speech will be. If a reply is required, place R.S.V.P.
