RECORDS MANAGEMENT STRATEGY
1 Introduction
The University is committed to the efficient management of its records and has an Institutional Records Management Policy which was approved by the University Court on 22nd May 2007. Records Management facilitates good governance, legislative compliance and provides solutions to practical issues such as records retention, storage and space requirements.
This document sets out the strategy through which the University will implement the Records Management Policy, together with a timetable.
Legislation such as the Data Protection Act 1998 and the Freedom of Information (Scotland) Act 2002, has placed an increased obligation on the University to manage its records, (whether paper or electronic) according to defined guidelines and standards. Both the Acts require the University to be able to identify, locate, or account for the disposal of documents, and to have published and implemented policies in relation to the disposal of records.
Records management has close links with other strategies and policies relating to information management, information technology, risk management, security, and data quality and validation. It is necessary that policies and procedures relating to all such activities should be consistent.
2 Aims
The University’s Records Management Strategy aims to provide:
A systematic and planned approach to records management covering all types and formats of University records from their creation through to disposal.
Efficiency and best value through improvements in the quality and flow of information, together with greater coordination of records and storage systems.
Compliance with statutory requirements.
Awareness of the importance of records management at all levels.
Assurance that University records worthy of permanent preservation are transferred to the institutional archives on a regular and orderly basis.
