Objectives To learn some samples To master some guidelines for writing letters of complaints To learn some useful expressions Guidelines for Writing(1) Start with a positive, before giving a negative. Make a specific rather than a general complaint. Be courteous in tone throughout. Make certain that the complaint is based on facts. The claim should be practical and acceptable to the other side. Guidelines for Writing(2) Don’t threaten. Say what action you want the reader to take, if any. Include all documents regarding your problem. Be sure that the letter may help solve the problem. Useful Expressions 1. Delivery of the goods ordered on December 8 is now condiderably overdue. 2. Upon examination, we found half the goods damaged. 3. On examination, we found the quality is not in conformity with what we stated in the contract. 4. The report of the Guangzhou Commodity Inspection Bureau shows a difference of 20 tons between the actual landed weight and the invoiced weight. Useful Expressions 5.
