Lecture 4 Unit 2 Routine business documents 常规商务文书 Enquiries and replies 查询函与回复函 Learning Objectives: Enquiries 查询函 What is an enquiry? In international trade, inquiries are usually made by the buyers to get information about the products to be ordered. Rules for writing an enquiry Indicate your purpose directly and briefly (about what are you want request for) Remember the “KISS” and “CLEAR” principle Keep a polite attitude Generally a detailed enquiry includes many points: 1. the name and descriptions of commodity; 2. brochure and catalogue; 3. terms of price (FOB, CIF, etc.) 4. quantity and if the products are available? 5. terms of payment (by L/C, D/P, etc. ) Three parts for an enquiry 1. Openings Opening sentence should clearly indicate the purpose of a letter or e-mail; or from where/whom you got the information of the addressee (for the first letter between sender and the addressee ) Commonly used opening sentences C=公司名称 P=产品 S=服务 I=信息来源 I learned about your C/P/S through I . I read about your C/P/S in I . I am/We are (particularly) interested in your P/S . @ Do not use sentence: I am writing to enquire about…? 2. Body of an enquiry Bring forward your enquiries. @Your enquiry must be CLEAR and ACCURATE. Commonly used patterns Would you please send me information/a catalogue/a brochure/a price list? Would you please let me know how much it costs? Would you please let me know if these items are still available/in stock? Could you please give me a discount? How soon could you deliver? Would there be a delivery charge? If so, how much? Differences between “would” and “could”! Would=一般请求(G)或对方做某事的意愿(D) could=特殊请求(S)或对方做某事的能力(A) egDear Sir, Would you please send me a catalog? If I order 20 units, could you please give me 10 percent discount? Also, how soon could you deliver?... Attention! Do not write in the follow patterns! What about …? What about delivery time? (含糊) How soon could/can you deliver? (清晰)
