The formality of languages Most formal: legal document, agreement, contract Less formal: business report, proposal, news release, notice Still less formal: business letter, memo, note Introduction Before you are going to write, ask yourself a number of questions. The answers of these questions will help you write effectively. Who is the reader? Why do I need to write? What should I write? How should I write? The most important question will affect what and how you will write. * Experts and jargon Not to use too much technical jargon; To paraphrase when necessary; To have very clear explanations for anything that reader may find it difficult to understand. *Exclude non-essential information Think about what your reader needs to know; Cut down everything but essential information; Not to tell reader what he has already known. Is the reader interested in your writing? If not, think about what can you do to stimulate reader’s interest. If your are going to write something which may annoy the reader, it may be important to use tactful language. Is the reader an expert or not? What the reader want to know? What is the reader’s attitude? Business writing aims and objectives 1 Reporting your investigation into a particular subject; 2 Making recommendations; 3 Writing a proposal to your colleagues or superior; 4 Persuade customers to buy something; 5 Write to order, complaint, or apologize, etc. *Format a letter, memo, fax, email or report *content Collecting the necessary information; Focusing on what is essential for the reader to know; organizing and sorting the information into a clear logical format. 4’C principles Clarity Conciseness Correctness Courtesy ? Clarity means to make the information clear so that the readers can understand what you are trying to convey. The primary concern of the business writing is to communicate information clearly. You should let your reader understand what you mean with only one reading.
