Component of E-mails E-mail = Electronic mail a system for sending and receiving messages electronically over a computer network. Component: the heading From: sender’s email address (automatically filled in) To: receiver’s email address Cc: Carbon Copy Bcc: Blind Carbon Copy Date: date of sending (automatically filled in) Subject: topic of the email Attachment: enclosed documents the body Component of E-mails Popularity of Emails Advantage: wide use in both internal and external business communications distribution to large numbers of recipients at the same time efficiency: fast in speed (esp. comparing with letters) value for money: cheap in price (less paperwork) ∴replacing memos, notes and letters in some way Disadvantage: internet security - may be hacked into by your competitors - computer virus may destroy your records no legal validity - no signatures - no company seals ∴can’t replacing business letters thoroughly Writing Tips Write an informative subject line Consider using identifying labels, such as “ACTION,” “FYI,” “URGENT” eg. News about the meeting Tomorrow’s meeting canceled FYI(For Your Information,供参考) URGENT:Submit your report today! Put the key point of your message up front Be brief Consider cultural differences Restrict the message to one topic whenever possible Make it easy for the reader to reply yes or no or give a short answer (instead of let me know what you think write Is Monday or Wednesday at 2p.m. best for you?)
