* GET one representative from each team to present their plan. DEBRIEF exercise by ASKING participants of their difficulties encountered while working on the case study. EMPHASIZE that without a systematic approach, it is difficult to come to an agreement on the plan as well as the quality of the plan. AIM : To bring out the problems that we will encounter when we start on a project. Sample questions to ask : Sequence of events Budget Time frame PPA Responsibility Before transiting… EXPRESS that project team is vital to the success of a project. * ASK Are you convince now that we need this Systematic Project Management? ASK Are we ready to embark on this Systematic Project Journey? DISTRIBUTE out handout. Briefly explain the importance of each steps in the Planning process and Implementation process. Confirming Project Need – Define work of scope, set objectives and KPI, early stage project scheduling Identify Detailed Task – Breakdown tasks into sub-task using Work Breakdown Structure (WBS) Define Time Dimension – Determine project duration and precedent relationship of task. Use network diagram to identify critical areas of project. Project Plan Enhancement – Analyze the action steps to anticipate, prevent and minimize potential problems. Organising Information – To ensure resource are allocated accordingly, budget within control, responsibility assigned for each task and communications network is set up. Creating the Environment – To create the awareness to the team the importance of the project, to rally for commitment and support from team members. Project Monitoring System – Have a monitoring system so that timely and relevant information is available for control, e.g. project objectives, milestones, checkpoints, etc. Project Closure – To evaluate the project, to uncover any potential problems for future actions, to generate final report for proper hand-over.
