Writing effectively can reach the goal we intended, without causing misunderstanding. For effective writing we must consider the following factors: the objective of the communication Intention of writing : for giving information, persuading, Or to request, to inform? Receiver of the communication Relationship bet. the sender and recipient The recipient’s background knowledge, experience Why to communicate How to communicate Is the communication urgent, serious, dangerous, emotive, informative? The expected recipient react to the communication How will the message affect the recipient The importance, will the recipient be offended or angered? Will it achieve the desired aims? For effective business communication , a high standard of use of English should be set and maintained. Business text/communication must be easily and quickly read, its message must be understood exactly as intended. For reaching the above goal, the following guidelines should be applied: Appropriate layout To display the business text, eg. Business letters, memos, notices, etc. according to the standard format, with all necessary parts of layout included. Logically connected ideas Make sure your wring is logically and suitably connected, so the reader can understand your idea and intention. Correct grammar and spelling Suitable style and tone The style and tone of writing must match the message and its reader. Tactfully organized information In order to reach your goal, your information must be well organized and planned. For example, your intention of writing the message is to persuade and convince the reader/recipient, s
