Chapter 4 Enquiries and Replies Chapter Four Inquiry and Replies An enquiry is to made seek a supply of products, service or information. Points for attention A detailed enquiry may includes: Name and description of commodity Terms of price (CIF, FOB, etc.) Quality or specification Quantity Discounts Catalogue Delivery date Terms of payments (by L/C or otherwise) Packing method If it is the initial contact between the two parties, the importer should begin the letter by telling how he has obtained the supplier’s name, details of his own company and business scope will also be included. (5.c) Points for attention Although an enquiry is not legally binding upon either the exporter or the importer, it is the first step towards successful business and should be handled with great care. Guidelines in writing enquiries: Tell the reader where you learnt of his company and its products. Moreover, you can introduce your own business and the products it deals in. The enquirer should state simply, clearly and concisely what he wants– general information, a catalogue, price list, or a sample. Enquiry should be specific and provide the necessary details to enable the receiver to answer the questions completely. You should mention the size of your order, as large orders may obtain a favorable quotation. Also state your terms of methods of payment. Indicate clearly why and when you must have the information and end on an optimistic note and request an early reply.
