Practical Reading: Reports To: Mr Hoskins, Managing Director From: Samantha Hu Date: 19th To: Mr Hoskins, Managing Director From: Samantha Hu Date: 19th August 2013 Title: Report on Increased Absenteeism Due to Illness Terms of Reference: As requested by Mr Hoskins on 16th August, I have investigated the possible reasons why absenteeism has increased in the last 12 months. 297 working days were lost due to illness compared with 133 days in the year before. Procedures and Findings: The main increase was during last winter when 37% of employees were off sick for more than two consecutive days at a time. There was a 12% increase during the other seasons. A scrutiny of the letters and doctors’ notes that were received, indicate that 87% of the reasons given were fevers and coughs caused by a virus. The average number of days per person off work was 5. I interviewed 28 of the people who were ill and most felt that once one person brings illness into the workplace, everyone is at risk. Managers agreed with this. I discovered that a large number of people are concerned that the air in the building is often stale. Opening windows is impossible due to noise and dust from outside. Bill Smart, Senior Manager in Maintenance, says that the filters in the ventilation system are changed in the spring as this is their quietest period. The system is 17 years old and is serviced annually. However, Bill is concerned that the whole system has never been thoroughly cleaned. He requested this last year but was not given permission. Conclusions: It appears that the ventilation and air filtration system in the building is in need of a major overhaul. Recommendations: Temperature Control Ltd, the company that installed the system, should be asked to do a thorough inspection and overhaul. It would also seem sensible for filter
