General Introduction After obtaining the desired information about the firms concerned one wants to do business with, an enquiry letter is often sent by a buyer to enquire about the detailed information for the goods he or she wants. Such as catalogues, samples, specifications, quality, and price lists, etc. Sometimes, sellers send enquiry letters to buyers to enquire whether there is a possibility to sell their products. Enquiry letters are the most frequent business letters people write. General Enquiry and Specific Enquiry There are two kinds of enquiry letters. One is called General Enquiry and the other is called Specific Enquiry. A General Enquiry is an enquiry written to get some general ideas about the products the buyer is interested in. Under this circumstance, the buyer asks the seller to send him or her catalogues, price lists and samples. A Specific Enquiry is written to get some more detailed information about the products the buyer wants to buy right away. The buyer has a clear requirement for a certain product. For Specific Enquiry letter the buyer may ask the seller to send him / her an offer or quotation. Writing Requirements When writing a general enquiry, keep in mind the guidelines below: Usually at the beginning of the letter, write directly about what you want, or after some polite formality, state what you want; Details of what you want. Normally, a catalogue, a price list, discount, terms of payment, delivery time and samples may be enquired about; Express your keenest desire to do business and request an early reply. Specific Enquiry letters need more detailed and concrete information to help conduct their business, therefore, when writing this kind of letter, the buyer should follow the guidelines below: List the names and specifications about the product you are enquiring about, including quality, Art Nos, specification, the amount, unit price, mode of delivery, delivery time and terms of payment; Ask the seller to send you
