Business letters concern the writing of forms or letters to companies or officials in institutions and government offices. Functions of Business Letters a) to inform, which refers to conveying the vast amount of information needed to day-to-day operations of the business; b) to influence, which means that messages included in a business letter should also influence the reader’s attitudes and functions. Layout of a Business Letter Six Standard Parts 1. Heading Section (Heading) It contains a printed letterhead and a typed dateline. Letterhead ----sender’s name and address, printed in the up-middle part or on the upper right corner. The order of the address number, name of a house street/ road avenue(AVE.) village or town county city, state zip code country B) Dateline--- usually typed at the left margin about one blank line below the letterhead. usually two ways to type the date of a letter: day/month/year (Europe) e.g 7th September, 20-- or 7th September 20-- 2.) month/day/ year (USA) e.g September 7th,or September 7, 20-- Inside Name and Address----receiver’s name and address typed at the left margin about two blank lines below the dateline. 1)name and title of the reader 2)name of the company 3)business address: Two examples: Mr. Paul A. Smitherman, President Smitherman and Sons, Inc. 3107Western Avenue New London, Connecticut 06320 U.S.A. 1) Mr. is used before a man’s name or surname: Mr. Donald H. Johnson; Mr. Johnson Mrs. is used for before a married woman: Mrs. Johnson Ms. Is used for both married and unmarried women: Ms. Maria Smith
