Creating a Job Responsibility Matrix
Think about the work you do. Break it down into 3 to 7 processes.
Make a process map for each. (The level of detail required in the map is entirely up to you. However, the more detailed the map, the better your matrix.)
Make a seperate list of the routine tasks, associated with the processes, that you tend to do. The most common tasks not reflected in a process map tend to be: running reports, attending meetings, assisting team members, training and day-to-day communications activities. Be specific about these. Name reports by title, meetings by subject, etc.
Now you are ready to start your matrix. Look at your process maps carefully. Go block by block. List specifically what happens in each block. (If your map is very detailed, there might only be one tasks for each block. If your map is high-level, there may be many tasks that need to happen in each block.) It is helpful to make your list using post-it notes. Put one task on each post-it. For each task, also note: who does it, its level of difficulty, the general type of task, its priority and how often (or when) it needs to occur. Here are two examples:

Once you have gone through all of your process maps, review your list of other tasks. Create a post-it note for each of those.
Along the way, you will certainly think of tasks that are missing from your maps and your list. Just add them as they come to mind. When you think you have captured all of your teams responsibilities, you need to organize and categorize. This is when the post-its come in handy.
